Set up conference calling

Choose the conferencing service that matches the meeting: a Hosted PBX audio room, or a scheduled meeting with invitations and web collaboration. Their configuration and access details are different.

Create a Hosted PBX audio room

  1. Open Hosted PBX conferences and select the intended PBX.
  2. Create a room number that does not overlap an extension or feature code. Name it so participants and administrators can identify it.
  3. Set participant and moderator PINs where required, capacity, moderation and recording options. For a time-limited room, set its opening and closing times in the correct timezone.
  4. Save the room and route a selected phone number or IVR choice to it. Review the number’s existing route before changing it; replacing that route changes where ordinary callers arrive.
  5. Join with participant and moderator identities and verify entry, audio, permissions and the end-of-meeting behavior.

Scheduled meetings and web collaboration

Scheduled conferencing can include invitation emails, meeting access numbers and web collaboration such as screen sharing and document presentation. These features use the meeting service and its enabled options, rather than the Hosted PBX audio-room settings above. Ask for help configuring a scheduled conference so the current creation workflow, invitation controls and meeting access details are confirmed for your account.

Share participant access details only with intended attendees. Keep moderator credentials separate. Before assigning a number already used for ordinary calls, record its current routing and plan how it will be restored after the meeting.
